Liniyan is a sales CRM. This explains what we hold, why, and what we will never do with it. It is written to be read rather than to protect us, so if anything here is unclear, ask.

Who we are

Liniyan is operated from Queensland, Australia. Contact us at hello@liniyan.com about anything in this policy, including a request to see or delete what we hold.

What we hold

Your account

Your name, email address and profile photo, taken from the Google account you sign in with. We use it to identify you and for nothing else.

Your CRM data

Whatever you put into Liniyan: companies, contacts, notes, call transcripts, email templates and the history of your deals. This is yours. We store it so the product works.

How you use Liniyan

How many AI actions and transcription minutes your workspace uses each month, so we can apply the fair use allowance and bill correctly. Not what you wrote, only how much.

What Liniyan is not built to hold

Liniyan is secured as a sales CRM. Some information needs protections beyond that, and the terms set out what should not be stored here: card numbers, health information about an individual, government identifiers such as tax file or Medicare numbers, and other sensitive information as defined by the Privacy Act.

This matters for call transcripts as much as notes. If a conversation covers something of that kind, delete the transcript rather than leaving it on the record.

Google data

Liniyan asks for permission to use three Google services. This section explains exactly what each does, because we would want to know before granting it.

Gmail

Liniyan creates draft emails in your Gmail account, so a follow up written in Liniyan is waiting for you to review and send. It cannot read your inbox, cannot see messages you have received, and cannot send anything on its own. It only creates drafts, and only when you ask it to.

The draft is created directly from your browser to Google. It does not pass through our servers, and we never see it or store it.

Contacts

When you press Save to Contacts on a lead, Liniyan adds or updates that one contact in your Google Contacts. It does this from your browser. We do not read your contacts, copy them, or hold a list of them.

Sheets

If you connect a Google Sheet, Liniyan reads the rows you point it at to import leads, and writes back which rows it has handled. It touches only that sheet, and only when you run a sync.

Limited use. Liniyan's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer that data to anyone, do not use it for advertising, do not allow humans to read it, and do not use it to train any AI model.

AI processing

Liniyan uses AI to write emails, summarise calls and research companies. To do that, the relevant content is sent to the provider running that model: Anthropic for writing and analysis, OpenAI for transcription, Google for company research.

We use their APIs on paid business terms, under which your content is not used to train their models.

Only what a feature needs is sent. Writing a follow up email sends that lead's notes and transcript. It does not send your other leads, your other clients, or anything from another workspace.

Call recordings

When you record a call, the audio is sent for transcription and is not kept afterwards. We store the text, because that is what makes the notes useful. The recording itself is discarded once transcribed.

Recording a conversation carries legal obligations that differ by state and country. Those obligations are yours, not ours. See the terms for what that means in practice.

Where it lives

Your data is stored with Google Cloud Firestore in Australia, and served through Cloudflare. Both hold industry standard security certifications.

Each workspace is separated by security rules enforced by the database itself, not just by our code. Someone in another workspace cannot read yours even if our application had a fault.

Who else sees it

We do not sell your data. We do not share it for advertising. It goes to:

We would disclose data if legally required to. If that happened we would tell you, unless prohibited from doing so.

How long we keep it

While your account is open. If you close it, tell us and we delete your workspace within 30 days. Backups are cycled out within a further 30.

Delete a lead in Liniyan and it is marked deleted immediately and removed permanently within 30 days.

What you can ask for

Email hello@liniyan.com and we will act within 30 days.

If something goes wrong

If your data were exposed, we would tell you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme, and we would tell you what happened rather than a sanitised version.

Changes

If this policy changes materially we will email you before it takes effect. The date at the top always reflects the current version.
